Create a Project in the TruckIT Portal (Video)

Learn how to create a project, add project details, include notes, and set up DOT project information in the TruckIT Web Portal.

Use this article to create a new project in the TruckIT Web Portal.

Projects help keep your sites, payloads, dispatches, tickets, and job activity organized in one place. Before you can add payloads or dispatch jobs, you need to create a project.

Before you begin

Make sure you have the project details ready before creating the project.

You may need:

  • Project name
  • Project number, if your company uses one
  • Project notes
  • DOT project number, if this is a DOT project
  • Inspector name or inspector access details, if applicable

You may also need permission to create projects. If you do not see Projects and Sites or Create New Project, contact your company administrator or TruckIT Support.

 Create a new project

  1. Log in to the TruckIT Web Portal.
  2. Go to Projects and Sites.
  3. In the Project section, review your current project list.
  4. Click Create New Project.
  5. Enter the project name.

Use a name your team will recognize. If your company has a standard naming format, follow that format.

  1. Enter a project number, if your company uses one.
  2. Add any project-level notes.
  3. Click Save.

Your new project will now appear in your project list.

Add project notes

Use project notes for information that applies to the entire project.

Examples of helpful project notes include:

  • Site access instructions
  • Safety requirements
  • Material handling instructions
  • Customer or project-specific requirements
  • Important contact details
  • Jobsite reminders

Important: Haulers can see project notes in the mobile app, so only include information that should be visible to field users.

Mark a project as a DOT project

If the project is a DOT project, you can mark it during project setup.

  1. In the project creation window, check the DOT Project box.
  2. Enter the DOT project number.
  3. Add the inspector who needs access to the project.
  4. Review the project details.
  5. Click Save.

This helps keep DOT project information connected to the project from the beginning.

What happens next?

After the project is created, you can continue setting up the work.

Common next steps include:

  • Add pickup and drop-off sites
  • Add payloads to the project
  • Dispatch jobs
  • Assign trucks and haulers
  • Review job and ticket activity

Creating the project first gives your team a central place to manage all related work.

Troubleshooting

I do not see the Create New Project button

Your user role may not have permission to create projects. Contact your company administrator or TruckIT Support.

I created the project with the wrong name

Open the project and update the project details if editing is available for your account. If you cannot edit the project, contact your company administrator.

I forgot to mark the project as a DOT project

Open the project and select "edit" and update the DOT project settings if available. If you do not see that option, contact your company administrator or TruckIT Support.

I am not sure what to put in project notes

Use notes for information that applies to the whole project. Keep them clear, short, and relevant. Avoid adding private internal notes if haulers should not see them.
