Add a Team Member in the TruckIT Portal (Video)

Learn how to add drivers, dispatchers, and other team members to your TruckIT account.

Use this article to add a new team member to your TruckIT account from the Web Portal.

Team members can include drivers, dispatchers, and other users who need access to TruckIT. Adding team members correctly helps make sure each user has the right access to the portal, mobile app, jobs, and team communication tools.

Before you begin

Make sure you are logged in to the TruckIT Web Portal.

You may need permission to manage team members. If you do not see My Company or My Team, contact your company administrator or TruckIT Support.

Before adding a new team member, have the following information ready:

  • First name
  • Last name
  • Phone number
  • Email address
  • Username
  • Temporary password
  • User role
  • Region, if your company uses regions

Make sure the phone number includes the correct country code. For example, use +1 for users in the United States.

 Add a new team member

  1. Log in to the TruckIT Web Portal.
  2. Go to My Company.
  3. Select My Team. This page shows your company’s team members, including usernames, roles, regions, phone numbers, and email addresses.
  4. Click Create New Team Member.
  5. Enter a username.
  6. Select the team member’s role. For drivers and dispatchers, select Trucker.
  7. Use the Trucker Type dropdown to choose whether the user is a Driver or Dispatcher.
  8. Enter the user’s first name and last name.
  9. Enter the user’s phone number.
  10. Enter the user’s email address.
  11. Create a password for the user.
  12. Click Save.

The new team member will now be added to your TruckIT account.

Choose the correct user type

Selecting the right user type is important because it determines what the team member can access in TruckIT.

Driver

Choose Driver for users who need access to the TruckIT mobile app to view and complete their assigned jobs.

Drivers can use the app to see their jobs, review job details, and manage job activity from the field.

Dispatcher

Choose Dispatcher for users who need access to both the TruckIT Web Portal and the mobile app.

Dispatchers may need broader access to manage jobs, dispatches, trucks, team activity, and operational workflows.

Before saving a new team member, confirm that the user type matches the access they need.

Review your team list

After saving the user, return to My Team and confirm that the new team member appears in the list.

From the team list, you can review:

  • Username
  • Role
  • Region
  • Phone number
  • Email address

Keeping this information accurate helps your team communicate and keeps user access organized.

Edit, archive, or message team members

You can manage existing team members from the My Team page.

  1. Go to My Company.
  2. Select My Team.
  3. Find the team member you want to manage.
  4. Click the three-dot menu next to their name.
  5. Choose the action you want to take.

Available actions may include:

  • Edit team member information
  • Archive a team member
  • Update user details
  • Manage access details

You can also use Message Team to communicate with team members.

When to archive a team member

Archive a team member when they should no longer appear as an active user.

For example, archive a team member if they:

  • No longer work with your company
  • No longer need TruckIT access
  • Were added by mistake
  • Changed roles and need to be replaced with a different user setup

Before archiving a team member, confirm that they do not need access to current or upcoming jobs.

Troubleshooting

I do not see the Create New Team Member button

Your account may not have permission to add users. Contact your company administrator or TruckIT Support.

The phone number is already in use

If TruckIT says the phone number is already in use, contact TruckIT Support. The current article also notes that support should be contacted when a phone number cannot be saved because it is already in use.

The phone number will not save

Check that the phone number includes the correct country code. For users in the United States, include +1 before the phone number.

The user cannot access the Web Portal

Check the user type. Drivers may only have access to the mobile app for assigned jobs, while dispatchers may have access to both the Web Portal and mobile app.

I selected the wrong user type

Go to My Company > My Team, click the three-dot menu next to the user, and edit the team member’s information if your permissions allow it.
