Create a Custom Payload in the TruckIT Portal
Learn how to add a custom payload so your team can select the right material when setting up project payloads and dispatches.
Use this article to create a custom payload in the TruckIT Web Portal.
A custom payload is a material or hauling item your team can select when setting up project payloads and dispatches. Creating clear, consistent payload names helps dispatchers, drivers, and back-office users understand what material is being hauled.
Before you begin
Make sure you are logged in to the TruckIT Web Portal.
You may need permission to manage company settings. If you do not see Settings or Payloads, contact your company administrator or TruckIT Support.
Before creating a custom payload, confirm the payload name your team wants to use. Use a name that is clear, specific, and consistent with your company’s naming standards.
Create a custom payload
1. Log in to the TruckIT Web Portal
2. Click the Gear icon.
3. Go to Settings.
4. Select Payloads.
5. Click Add new payload
6. Enter the name of the new payload.
7. Click Save.
The custom payload will now be available for your team to use when adding payloads to projects.
Tips for naming custom payloads
Use payload names that are easy for dispatchers, drivers, and office users to recognize.
Good payload names are:
- Short
- Specific
- Easy to search
- Consistent across projects
- Written the same way every time
For example, avoid creating multiple versions of the same material, such as:
- #57 Stone
- 57 stone
- No. 57 Stone
- 57 STN
Instead, choose one standard naming format and use it consistently.
When to create a custom payload
Create a custom payload when the material or hauling item your team needs is not already available in TruckIT.
Common examples include:
- A project-specific material
- A material with a company-specific name
- A specialty aggregate or mix
- A custom hauling item
- A material your team frequently dispatches but does not see in the payload list
Before creating a new payload, search your existing payload list to make sure the material has not already been added under a different name.
What happens next?
After the custom payload is saved, your team can select it when adding a payload to a project.
A project payload includes more than just the custom payload name. When setting up a project payload, you may also select the truck type, pickup site, drop-off site, unit of measure, and optional fields.
Best practices for managing payloads
Keep your payload list clean so users can find the right material quickly.
Recommended best practices:
- Search the existing list before adding a new payload.
- Avoid duplicate material names.
- Use one naming format across all markets or regions.
- Keep names clear enough for field and office teams.
- Review payload names periodically.
- Remove or clean up outdated names if your account permissions allow it.
- Align payload names with how your team reports, bills, or reconciles work.
Troubleshooting
I do not see the Payloads option
Your user role may not have permission to manage payload settings. Contact your company administrator or TruckIT Support.
I added a payload, but I do not see it when adding a project payload
Refresh the page and try again. Also confirm that the payload was saved correctly.
I created a duplicate payload by mistake
Review your payload list and clean up duplicate names if your account permissions allow it. If you cannot remove or edit the duplicate, contact your company administrator or TruckIT Support.
I am not sure what to name the payload
Use the material name your dispatchers, drivers, and back-office team already recognize. Keep the name specific and consistent with your company’s naming standards.
I need to add more details than just the payload name
Create the payload name first, then add the full project payload from the project page. Project payload setup is where you define the pickup site, drop-off site, truck type, unit of measure, and other job details.
