Use this article to dispatch a job from the TruckIT mobile app using trucks from My Fleet or available Subhaulers.

Dispatching from the mobile app helps contractors and field users assign trucks to work without needing to open the web portal. You can use this workflow when a project and payload are ready and you need to assign company trucks or subhauler trucks to the job.

Before you begin

Make sure you have:

  • Logged in to the TruckIT mobile app
  • Contractor or dispatcher access
  • A project already created
  • A payload already added to the project
  • Trucks available in My Fleet
  • Subhaulers available, if you plan to dispatch subhauler trucks
  • The correct job date, start time, pickup site, and drop-off site

If you do not see dispatch options in the mobile app, contact your company administrator or TruckIT Support.

Choose whether to use My Fleet or Subhaulers

Before assigning trucks, decide which truck source you need.

Use this option When to use it
My Fleet Use when assigning trucks owned or managed by your company
Subhaulers Use when assigning trucks from a third-party hauling partner

Use My Fleet for company trucks. Use Subhaulers when you need additional capacity or want to assign work to a hauling partner.

Open the project and payload

  1. Open the TruckIT mobile app.
  2. Go to Projects.
  3. Select the project you want to dispatch.
  4. Find the payload you want to use.
  5. Tap the dispatch option for that payload.

Review the project and payload before continuing so you know the job is being created from the correct setup.

Dispatch to My Fleet

Use this option when assigning your company’s own trucks.

  1. From the dispatch screen, select My Fleet.
  2. Review the available trucks.
  3. Select the truck or trucks you want to assign.
  4. Confirm the truck assignment.
  5. Review the job details.
  6. Save or submit the dispatch.

The selected fleet trucks are now assigned to the job.

Dispatch to Subhaulers

Use this option when assigning work to a third-party hauler or subhauler.

  1. From the dispatch screen, select Subhaulers.
  2. Choose the subhauler you want to use.
  3. Review the available trucks or hauler options.
  4. Select the truck or trucks needed for the job.
  5. Confirm the assignment.
  6. Review the job details.
  7. Save or submit the dispatch.

The selected subhauler trucks are now assigned to the job.

Review before dispatching

Before saving or submitting the dispatch, confirm:

  • The correct project is selected
  • The correct payload is selected
  • The truck source is correct: My Fleet or Subhaulers
  • The selected trucks are correct
  • The job date and start time are correct
  • Pickup and drop-off sites are correct
  • Any job notes or driver instructions are complete
  • The job quantity or units are correct

This helps prevent sending the wrong truck, hauler, or job details.

Best practices for mobile dispatching

Use the mobile dispatch workflow carefully because assigned trucks may receive job information after the job is saved.

Recommended best practices:

  • Confirm the project and payload before assigning trucks.
  • Use My Fleet for company trucks.
  • Use Subhaulers only when the hauling partner should receive the work.
  • Review truck assignments before saving.
  • Add clear job notes if drivers or haulers need special instructions.
  • Confirm pickup and drop-off locations before dispatching.
  • Avoid dispatching from the field if project or payload details look incomplete.
  • Contact dispatch or an admin if the correct truck or subhauler is missing.

Troubleshooting

I do not see the dispatch option

Your account may not have permission to dispatch from the mobile app, or the payload may not be ready for dispatch. Contact your company administrator or TruckIT Support.

I do not see My Fleet

Your account may not have access to company fleet trucks, or no trucks may be available for the selected job. Check fleet setup or contact your administrator.

I do not see Subhaulers

Subhaulers may not be set up for your account, or your user role may not have access to them. Confirm that the subhauler has been added in TruckIT.

I cannot find the truck I need

The truck may be unavailable, assigned to another job, filtered by region, archived, or not set up correctly.

I selected the wrong truck or subhauler

If the job has not been saved, remove the incorrect selection before submitting. If the job has already been saved, edit the dispatch if your permissions allow it or contact your dispatcher.

The job did not save

Confirm all required fields are complete, including project, payload, date, time, truck assignment, and any required job details.
