Create and Assign a Restricted Customer in the TruckIT Portal

Learn how to create a read-only customer, add users for that customer, and assign the restricted customer to a project.

Use this article to create a restricted customer in the TruckIT Web Portal and assign that customer to a project.

A restricted customer is a customer with read-only privileges. Restricted customers can be useful when a customer needs visibility into project information but should not have full access to manage or change your company’s TruckIT data.

Before you begin

Make sure you are logged in to the TruckIT Web Portal.

You may need permission to manage company settings, customers, users, and projects. If you do not see Settings, Customers, Restricted Customers, or Projects and Sites, contact your company administrator or TruckIT Support.

Before creating a restricted customer, confirm:

  • The customer name
  • Whether the customer already exists in TruckIT
  • Which project the restricted customer should be assigned to
  • Which user or users need access under the restricted customer account
  • Whether the customer should only have read-only visibility

Important: If the customer has already been created and is already assigned to a project, remove the customer from the project before making them restricted. Then make the customer restricted and assign them again after setup.

Step 1: Create the customer

1. Log in to the TruckIT Web Portal.

2. Click the gear icon.

 

3. Click Settings.

 

4. Click Customers.

 

5. Click Add new customer.

 

6. Click the Customer Name field

7. Enter the customer’s name.

 

7. Click Save.

The customer is now created.

Step 2: Make the customer restricted

After the customer is created, update the customer so they have restricted access.

1. Find the customer you just created.

 

2. Click Make Restricted.

 

3. Click Yes to confirm. 

The customer is now listed as a restricted customer.

Step 3: Open the Restricted Customers section

1. Go to Restricted Customers

 

2. Find the restricted customer you created.

3. Click the login icon to log in as the restricted customer.

 

12. Click Yes.

You are now viewing TruckIT as the restricted customer.

Step 4: Add a user for the restricted customer

After logging in as the restricted customer, add the user who should have access.

1. Click My Company.

 

2. Click Create new team member.

3. Enter the user’s required details.

4. Click Save.

The user is now added under the restricted customer account.

Important: Do not edit the Default Manager user. The current article notes that the Default Manager should not be edited because it is used by TruckIT.

Step 5: Return to your account

After adding the restricted customer user: 

1. Click Return.

 

2. Confirm that you are back in your main company account.

You can now assign the restricted customer to a project. 

Step 6: Assign the restricted customer to a project

1. Go to Projects and Sites.

 

2. Select the project the customer should be assigned to.

3. Click Restricted Customer.

 

4. Open the dropdown menu.

 

5. Select the restricted customer you created.

The restricted customer is now assigned to the project.

When to use a restricted customer

Use a restricted customer when a customer needs project visibility but should not have full editing or management access.

Common examples include:

  • A customer who needs to review project activity
  • A contractor who needs read-only access to project information
  • A stakeholder who needs visibility into project progress
  • A project partner who should not be able to change operational data
  • A customer who needs access to a specific project, not your full account

Restricted customers are best for controlled visibility.

Best practices for restricted customers

Use restricted customer access carefully so project visibility stays clean and controlled.

Recommended best practices:

  • Create restricted customers only when read-only access is appropriate.
  • Confirm the customer name before saving.
  • Check whether the customer already exists before creating a duplicate.
  • Remove an existing customer from a project before making them restricted.
  • Do not edit the Default Manager user.
  • Add only the users who need access.
  • Assign the restricted customer only to the correct project.
  • Review restricted customer access when a project ends.
  • Keep customer user details accurate and up to date.

Troubleshooting

I do not see the Customers section

Your user role may not have permission to manage customer settings. Contact your company administrator or TruckIT Support.

I do not see Make Restricted

Confirm that you are in Settings > Customers and that you have permission to manage customers. If the customer is already assigned to a project, remove them from the project first, then make them restricted.

I created a customer, but they are not restricted

Find the customer in Customers, click Make Restricted, and confirm by clicking Yes.

I cannot log in as the restricted customer

Confirm that the customer was successfully made restricted and appears in Restricted Customers. You may also need additional permissions.

I accidentally edited the Default Manager

Contact TruckIT Support. The Default Manager should not be edited because it is used by TruckIT.

I cannot find the restricted customer when assigning the project

Confirm that the customer was made restricted and that you returned to your main account before assigning the customer under Projects and Sites.
