Add a Foreman or Point of Contact to a Project in the TruckIT Portal

Learn how to create a dispatcher account and assign that user as a project foreman or point of contact.

Use this article to add a foreman or point of contact to a project in the TruckIT Web Portal.

A project foreman or point of contact helps drivers, dispatchers, and team members know who is responsible for overseeing project communication and jobsite coordination.

Before a user can be selected as a project foreman or point of contact, they must have a dispatcher account in TruckIT.

Before you begin

Make sure you are logged in to the TruckIT Web Portal.

You may need permission to manage team members and project settings. If you do not see My Company, My Team, Projects and Sites, or the Foreman / Point of Contact field, contact your company administrator or TruckIT Support.

Before assigning a foreman or point of contact, confirm:

  • The person has been added as a team member
  • The user has a dispatcher account
  • The project has already been created
  • You are assigning the correct person to the correct project

Step 1: Create the user as a dispatcher

If the foreman or point of contact does not already have a dispatcher account, create one first.

1. Go to My Company. 

 

2. Select My Team.

 

3. Click Create New Team Member. 

 

4. Add the required user information.

 

5. Select Trucker as the role. 

 

6. Click the Trucker Type drop-down.

 

7. Select Dispatch from the drop-down.

 

8. Review the user details.

9. Click Save.

 

10. Click "Projects and Sites"

 

Step 2: Assign the user to a project

After the dispatcher account has been created, assign the user to the project.

1. Go to Projects and Sites.

 

2. Open Projects.

3. Select the project you want to update

4. Find the Forman/ Point of Contact field.

 

5. Open the drop-down list.

6. Select the correct user.

 The selected user will now be listed as the foreman or point of contact for that project. 

Important note

Points of contact and foremen must have a dispatcher account before they can be selected for a project.

If a person does not appear in the Foreman / Point of Contact dropdown, check their team member profile and confirm they are set up as a dispatcher.

When to assign a foreman or point of contact

Assign a foreman or point of contact when a project needs a clear person responsible for field communication, project oversight, or jobsite coordination.

Common examples include:

  • A superintendent or foreman overseeing work in the field
  • A dispatcher responsible for project communication
  • A site contact drivers may need to reach
  • A company contact responsible for project updates
  • A user who needs visibility into project activity

Keeping this field updated helps reduce confusion and gives team members a clear contact for project-related questions.

Use the Foreman / Point of Contact field consistently across projects.

Recommended best practices:

  • Assign one clear contact for each active project.
  • Use dispatcher accounts for users who need to appear in the contact dropdown.
  • Update the project contact when project ownership changes.
  • Avoid leaving outdated contacts assigned to active projects.
  • Confirm the contact’s name, phone number, and email are accurate in My Team.
  • Review project contacts before dispatching new work.

Troubleshooting

The person does not appear in the dropdown

Confirm the user has been added under My Company > My Team and is set up as a dispatcher.

I cannot create a new team member

Your account may not have permission to manage users. Contact your company administrator or TruckIT Support.

I cannot edit the project

Your account may not have permission to manage project settings. Contact your company administrator or TruckIT Support.

I assigned the wrong person

Open the project again, go to the Foreman / Point of Contact field, and select the correct user from the dropdown.

The foreman or point of contact information is outdated

Update the user’s profile in My Company > My Team, then review the project assignment.
