Add a Custom Field to a Payload in the TruckIT Portal
Learn how to add a custom field, such as Cost Rate, to a project payload so the field appears on submitted tickets.
Use this article to add a custom field to a project payload in the TruckIT Web Portal.
Custom fields help your team capture additional information on a payload. For example, you may add a custom field called Cost Rate so that the cost rate is connected to the payload and appears on the ticket after the job is dispatched and the driver submits a ticket.
Before you begin
Make sure you are logged in to the TruckIT Web Portal.
You may need permission to view jobs, edit payloads, and update project details. If you do not see My Jobs, the payload edit option, or ADD FIELDS, contact your company administrator or TruckIT Support.
Before adding a custom field, confirm:
- The project you want to update
- The payload you want to edit
- The custom field name
- The custom field value
- Whether the field should appear on tickets after dispatch
- Whether your team already has a standard naming format for this field
Add a custom field to a payload
1. Log in to the TruckIT Web Portal.
6. Find the payload you want to update.
7. Edit the payload.

8. Click ADD FIELDS.

9. Click the Field name field.

10. Enter the custom field name.
Example: Cost Rate

11. Click the Field value field.
12. Enter the value for the field.
13. Click SAVE.

The custom field is now added to the payload.
Example: Add Cost Rate to a payload
Use Cost Rate when your team needs to associate a rate with the payload.
Example setup:
| Field | Example |
|---|---|
| Field name | Cost Rate |
| Field value | Your cost rate value |
After saving, dispatch the job and have the driver submit a ticket. Once the ticket is completed, the custom field can appear on the ticket.
What happens after the field is saved?
After the custom field is added to the payload, it is connected to that payload.
When the job is dispatched and the driver submits a ticket, the custom field can appear on the completed ticket. This helps your team review payload-specific details during ticket review, reporting, reconciliation, billing, or job analysis.
When to add a custom field to a payload
Add a custom field to a payload when your team needs to capture extra information that is specific to that payload.
Common examples include:
- Cost rate
- Billing rate
- Customer reference number
- Purchase order number
- Material code
- Job phase
- Internal tracking code
- Special handling note
- Project-specific detail
Use custom fields carefully so tickets stay clear and easy to review.
Best practices for payload custom fields
Keep payload custom fields consistent across your team.
Recommended best practices:
- Use short, clear field names.
- Avoid creating duplicate versions of the same field.
- Use the same naming format across projects.
- Confirm the field value before saving.
- Add only fields that users need for dispatch, tickets, reporting, billing, or reconciliation.
- Review the field on the ticket after the first driver submission.
- Coordinate with billing or back-office teams before adding rate-related fields.
- Avoid using custom fields for information that should be managed in a standard TruckIT field.
For example, use one standard field name like Cost Rate instead of creating multiple versions such as Cost, Rate, Cost/Rate, and Cost Rate $.
Troubleshooting
I do not see ADD FIELDS
Your account may not have permission to edit payloads, or the payload may not be editable from your current view. Contact your company administrator or TruckIT Support.
I cannot find the project
Check that you are in Jobs > My Jobs and that the correct date, project, or job filters are selected.
I added the field, but it does not appear on the ticket
Confirm the field was saved on the payload. Then dispatch the job and confirm a driver has submitted a ticket for that job.
I entered the wrong field value
Open the payload again, edit the custom field value if your permissions allow it, and save the update.
I need the same custom field on multiple payloads
Add the field to each payload where it should appear, or review whether your team should create a broader custom field standard in company settings.
