When to accept or reject a load

Use your organization’s inspection and quality control requirements when deciding whether to accept or reject a load.

You may need to reject a load if:

  • The load does not meet project requirements
  • The ticket information does not match the delivered material
  • Required quality control values are missing or incorrect
  • The material, quantity, or delivery details need review
  • The load should not be approved for the project

Add notes when rejecting a load so the reason is clear to the project team.

What to include in inspector notes

Use notes to explain important inspection details.

Helpful notes may include:

  • Reason for rejection
  • Quality control values
  • Material concerns
  • Ticket discrepancies
  • Site observations
  • Missing or incorrect information
  • Follow-up instructions

Keep notes clear and specific so project teams can understand what was reviewed and why action was taken.

Best practices for DOT inspectors

Use a consistent review process before verifying or signing tickets.

Recommended best practices:

  • Confirm you selected the correct job.
  • Open the correct ticket before taking action.
  • Review ticket details before verifying.
  • Enter quality control values carefully.
  • Add notes when accepting or rejecting a load.
  • Do not sign until the ticket is ready for approval.
  • Use reject only when the load should not be accepted.
  • Review your entries before tapping Verify or Accept.
  • Contact the project team if ticket details do not match the load.
