Send Messages to Team Members and Drivers in the TruckIT Portal
Learn how to message selected team members or send job-specific messages to all drivers assigned to a job.
Use this article to send messages from the TruckIT Web Portal.
TruckIT messaging helps dispatchers, admins, and operations teams communicate with team members and drivers without leaving the portal. You can send a message to selected team members from My Team, or send a job-specific message to all drivers assigned to a job.
Before you begin
Make sure you are logged in to the TruckIT Web Portal.
You may need permission to view team members, jobs, or messaging tools. If you do not see My Company, My Team, MESSAGE TEAM, Jobs, or MESSAGE DRIVERS, contact your company administrator or TruckIT Support.
Before sending a message, confirm:
- Who should receive the message
- Whether the message is general or job-specific
- Whether the message should go to selected users or all drivers on a job
- That the message is clear, accurate, and ready to send

Message selected team members
Use this option when you want to send a message to specific users from your company team list.
2. Select My Team.
4. Select the team members or drivers who should receive the message.
5. Enter your message in the message field.
The message will be sent to the selected users.
Message all drivers on a job
Use this option when the message applies to a specific job and should go to every driver assigned to that job.
1. Go to Jobs.
2. Select the job you want to message drivers about.
3. Click MESSAGE DRIVERS.
4. Select the driver you want to message OR select Message All Drivers.
5. Enter your message.
8. Click CLOSE after the message is sent.
What to include in a message
Keep messages short and specific. Drivers and team members should be able to understand the instruction quickly.
Helpful messages may include:
- Pickup or drop-off updates
- Site entrance instructions
- Gate codes or check-in details
- Weather or delay updates
- Safety reminders
- Schedule changes
- Ticket reminders
- Contact information
- Job-specific notes
Example message:
Use the north entrance for today’s pickup. Check in with the scalehouse before loading. Call dispatch if delayed.
Best practices for TruckIT messaging
Use messaging to reduce phone calls, missed updates, and scattered text threads.
Recommended best practices:
- Put the most important instruction first.
- Keep messages brief.
- Mention the job, site, or timing if needed.
- Use MESSAGE TEAM for selected users.
- Use MESSAGE DRIVERS for job-specific messages to all assigned drivers.
- Avoid sending broad messages when only a few people need the update.
- Review recipients before sending.
- Send a correction immediately if the wrong message is sent.
- Avoid sensitive information that does not need to be sent through a message.
Troubleshooting
I do not see MESSAGE TEAM
Your user role may not have permission to message team members. Contact your company administrator or TruckIT Support.
I do not see MESSAGE DRIVERS
Confirm that you opened a specific job and that drivers are assigned to that job. Your account may also need permission to use job-level messaging.
I selected the wrong recipients
Do not send the message until the recipient list is correct. If the message was already sent, send a follow-up clarification.
I sent the wrong message
Send a corrected message as soon as possible. Make the correction clear so drivers know which instruction to follow.
A driver says they did not receive the message
Confirm the driver is active, assigned correctly, and has the correct contact information in TruckIT. If the issue continues, contact TruckIT Support.
