Use this article to add, invite, and manage third-party haulers in the TruckIT Web Portal.
Third-party haulers are outside hauling partners that your company works with. Adding them to TruckIT helps your team organize preferred haulers, assign outside trucks, and manage hauling partners from one place.
Before you begin
Make sure you are logged in to the TruckIT Web Portal.
You may need permission to manage company settings. If you do not see My Company, Settings, or Haulers, contact your company administrator or TruckIT Support.
Before adding a new hauler, confirm the hauler’s:
- Company name
- Contact name, if available
- Email address
- Region or market, if your company uses hauler filters
- Any internal naming format your team uses for haulers
Open your hauler settings
- Log in to the TruckIT Web Portal.
- Go to My Company.
- Select Settings.
- In the left-side menu, click Haulers.
From the Haulers screen, you can manage your company’s preferred haulers list, add new haulers, remove haulers, and manage hauler filters.
Add or invite a third-party hauler
Use this workflow when you want to add a new third-party hauling partner to your preferred haulers list.
- From the Haulers screen, click Preferred Haulers.
- Click Invite Hauler.
- Enter the hauler’s name.
- Enter any required contact information.
- Review the details for accuracy.
- Click Save.
TruckIT will send the hauler an email invitation.
Manage your preferred haulers list
Your preferred haulers list helps your team keep commonly used hauling partners easy to find.
From the Haulers screen, you can:
- View haulers already added to your list
- Add new haulers
- Delete haulers from the list
- Organize haulers using filters
- Edit existing hauler filters
Keep this list up to date so dispatchers can quickly find the right hauling partners when assigning work.

Hauler filters help organize your third-party haulers so your team can find the right partner faster.
Depending on how your company manages haulers, filters may be useful for:

- Specialty hauling needs
Use clear filter names that your dispatchers and admins will understand.
When to remove a hauler
Delete or remove a hauler from your preferred haulers list when that partner should no longer be available for selection.
For example, you may want to remove a hauler if they:
- No longer work with your company
- Were added by mistake
- Are no longer approved for dispatch
- Have been replaced by another partner
- Should not be visible to dispatchers
Before deleting a hauler, confirm that your team no longer needs them for active or upcoming work.

Troubleshooting
I do not see the Haulers option
Your user role may not have permission to manage company settings or haulers. Contact your company administrator or TruckIT Support.
The hauler did not receive the invitation email
Confirm the email address was entered correctly. Ask the hauler to check their spam or junk folder. If the issue continues, contact TruckIT Support.
I added the wrong hauler name
Open the hauler record and edit it if editing is available for your account. If you cannot edit it, remove the hauler and invite them again with the correct information.
I cannot find a hauler when dispatching
Check your preferred haulers list and any active filters. The hauler may not be added, may have been removed, or may be hidden by a filter.
I see duplicate haulers
Review both records before deleting one. Keep the record your team uses most often, then remove or clean up duplicates as needed.
