Dispatch a Payload with Custom Fields in the TruckIT Portal
Learn how to enter custom field values while dispatching a payload and assign trucks to the job.
Use this article to dispatch a payload that includes custom fields in the TruckIT Web Portal.
Custom fields allow your team to capture additional information during dispatch. If a custom field is set to show on the Dispatch screen, users can enter the required information before assigning trucks and saving the job.
Before you begin
Make sure you are logged in to the TruckIT Web Portal.
You may need permission to view projects and dispatch jobs. If you do not see Projects and Sites, Dispatch, custom field inputs, or Save Job, contact your company administrator or TruckIT Support.
Before dispatching a payload with custom fields, confirm:
- The project has already been created
- The payload has already been added to the project
- The custom field has been added to the payload
- The custom field is visible on the Dispatch screen
- You know what information should be entered in each custom field
- The correct trucks are available for assignment
Dispatch a payload with custom fields
1. Go to Projects and Sites.2. Select the project you want to dispatch.
3. Find the payload you want to dispatch.
4. Click Dispatch.

What to enter in custom fields
The information you enter depends on how your company uses custom fields.
Common examples include:
- Cost rate
- Billing code
- Purchase order number
- Customer reference number
- Job phase
- Material code
- Internal tracking code
- Inspector note
- Special project requirement
Enter the information exactly as your team expects to see it later in dispatch review, ticket review, reporting, billing, or reconciliation workflows.
If the custom field does not appear
If you cannot see the custom field on the dispatch screen, the field may not be enabled for dispatch visibility.
A Company Admin should:
- Go to Settings.
- Select Custom Fields.
- Find the custom field.
- Enable the Show on Dispatch toggle.
Only Company Admins can see and edit Permissions and the Show on Dispatch toggle.
When to use custom fields during dispatch
Use custom fields during dispatch when your team needs to capture information before the job is sent.
This is useful when:
- Dispatchers need to enter project-specific details
- Billing or reporting needs additional values
- A customer requires a reference number
- The job needs an internal tracking code
- A payload needs cost, rate, or accounting details
- The information should be attached to the dispatched job
Best practices for dispatch custom fields
Keep custom field values clean and consistent.
Recommended best practices:
- Confirm the custom field is visible before dispatching.
- Enter custom field values before assigning and saving the job.
- Use consistent formatting across projects.
- Avoid leaving required operational fields blank.
- Review values before clicking Save Job.
- Coordinate with billing or reporting teams before entering rate or accounting fields.
- Ask a Company Admin to review field settings if dispatchers cannot see the field.
