Dispatch a Job in the TruckIT Portal (Video)

Learn how to dispatch a job, assign trucks, set start times, and send job details to drivers from the TruckIT Web Portal.

Use this article to dispatch a job from the TruckIT Web Portal.

Dispatching a job sends the job details to the assigned drivers and helps your team manage truck assignments, start times, pickup and drop-off locations, job quantity, and driver instructions from one place.

Before you begin

Before dispatching a job, make sure the project has already been set up with the correct:

  • Project details
  • Pickup site
  • Drop-off site
  • Payload or material
  • Available fleet trucks or third-party haulers

You should also confirm the job date, start time, quantity, and point of contact before saving the dispatch.

 Open the dispatch screen

  1. Log in to the TruckIT Web Portal.
  2. Go to the project you want to dispatch.
  3. Find the payload you want to dispatch.
  4. Click Dispatch.

This will open the dispatch screen.

On the dispatch screen, you will see:

  • Your projects listed on the left
  • The dispatch details in the center
  • Your fleet and third-party haulers on the right

Enter the job details

In the dispatch section, review and complete the job information.

  1. Add a reference number, if your company uses one. This field is optional and can be used for internal tracking.
  2. Select the job date.
  3. Select the job start time.
  4. Enter the job quantity. If the job has unlimited quantity, select the infinity symbol.
  5. Select the point of contact for the job.

Drivers will be able to see the point of contact information for the job.

Review pickup and drop-off sites

Before assigning trucks, confirm that the pickup and drop-off sites are correct.

Review the:

  • Pickup location
  • Drop-off location
  • Site notes
  • Any job-specific instructions

If a site needs to be updated, edit it before saving the dispatch.

Add trucks to the job

You can assign trucks from either My Fleet or Haulers.

  1. On the right side of the dispatch screen, select My Fleet or Haulers.
  2. Find the truck or trucks you want to add to the job.
  3. Drag each truck into the dispatch area.
  4. Confirm that the truck was added to the current dispatch.

TruckIT may display indicators that show whether a truck is already assigned to the current dispatch or already dispatched for part of the day.

Adjust truck start times

After trucks are added to the job, review and adjust each truck’s start time.

Staggering start times can help prevent too many trucks from arriving at the pickup or drop-off site at the same time.

Use this step to help:

  • Reduce site congestion
  • Improve cycle times
  • Keep trucks moving efficiently
  • Avoid stacking trucks at the pickup or drop-off location

Add driver notes

Use job notes to give drivers important instructions before they arrive on site.

Examples of helpful driver notes include:

  • Site entry or exit instructions
  • Who to speak with when the driver arrives
  • Whether the job is paid in full
  • Safety requirements
  • Gate codes or check-in instructions
  • Material-specific instructions
  • Pickup or drop-off reminders

Keep notes clear and specific so drivers know exactly what to do.

Save and send the dispatch

Once the job details, assigned trucks, start times, and notes are correct, click Save Job.

After the job is saved, the dispatch will be sent to the assigned parties.

Troubleshooting

I do not see the Dispatch button

Confirm that the project, sites, and payload have been set up. You may also need permission to dispatch jobs.

I cannot find a truck to assign

Check both the My Fleet and Haulers tabs. The truck may also be unavailable, archived, assigned to another job, or associated with a different region.

A truck is already assigned to another job

Review the truck’s status indicator before assigning it. If needed, adjust the truck’s start time or choose a different truck.

Drivers did not receive the dispatch

Confirm that the job was saved. Then check that the correct trucks and drivers were assigned to the job.

Where do I dispatch a job in TruckIT?

You dispatch a job from the project payload in the TruckIT Web Portal. Open the project, find the payload, and click Dispatch.

Can I assign both company trucks and third-party haulers?

Yes. You can assign trucks from My Fleet or from the Haulers tab.

Can I change the pickup or drop-off site before dispatching?

Yes. Review the pickup and drop-off sites on the dispatch screen and edit them if needed before saving the job.

Why should I stagger truck start times?
