Learn how to send messages to selected drivers or message all drivers assigned to a job.

Use this article to send messages to drivers from the TruckIT Web Portal.

Messaging drivers from the portal helps dispatchers and office teams share updates without leaving TruckIT. You can message selected drivers from My Team, or you can message all drivers assigned to a specific job from the job monitoring page.

Drivers receive messages by SMS on their mobile device and in the notification section of the TruckIT mobile app.

Before you begin

Make sure you are logged in to the TruckIT Web Portal.

You may need permission to view team members, jobs, or driver communication tools. If you do not see My Company, My Team, Message Drivers, or the messaging options described below, contact your company administrator or TruckIT Support.

Before sending a message, confirm:

  • Which driver or drivers should receive the message
  • Whether the message applies to a specific job
  • Whether the message should go to one driver, selected drivers, or all drivers on a job
  • That the message is clear and ready to send

Choose the right messaging option

Use this quick guide to decide where to send your message.

Message selected drivers from My Team

Use this option when you want to send a message to one or more drivers, not necessarily everyone on a job.

  1. Log in to the TruckIT Web Portal.
  2. Go to My Company.
  3. Select My Team.
  4. Open the messaging tool.
  5. Select the driver or drivers you want to message.
  6. Type your message.

You may be able to send the same default message to all selected drivers or write individualized messages for each driver.

  1. Review your message.
  2. Click Send messages.

The selected drivers will receive the message.

Message one or more drivers on a job

Use this option when the message applies to a specific job and should go to all drivers assigned to that job.

  1. Go to the job monitoring page.
  2. Select the job you want to message drivers about.
  3. Click Message Drivers.
  4. Select the driver you would like to message OR check the box next to message all drivers.
  5. Type your message.
  6. Review the message for accuracy.
  7. Click Send.

Drivers assigned to the job will receive the message by SMS and in the TruckIT mobile app notification section.

What to include in driver messages

Keep messages short, clear, and specific.

Helpful driver messages may include:

  • Pickup or drop-off instructions
  • Site entrance or gate details
  • Safety reminders
  • Schedule updates
  • Job changes
  • Weather or delay updates
  • Material-specific instructions
  • Contact information
  • Ticket reminders

Example:

Use Gate 2 for pickup. Check in with the scalehouse before loading. Call dispatch if delayed.

Best practices for messaging drivers

Use driver messaging to reduce phone calls, text threads, and miscommunication.

Recommended best practices:

  • Keep messages brief.
  • Put the most important instruction first.
  • Include the job, site, or timing details when needed.
  • Avoid sending unnecessary messages to all drivers.
  • Use job messaging for job-specific updates.
  • Use My Team messaging for broader driver communication.
  • Review the message before sending.
  • Do not include sensitive information that does not need to be sent by SMS.

Troubleshooting

I do not see the messaging tool in My Team

Your account may not have permission to message team members. Contact your company administrator or TruckIT Support.

I do not see the Message Drivers button

Confirm that you are on the job monitoring page and that the job has drivers assigned. Your account may also need permission to use job messaging.

A driver did not receive the message

Confirm the driver is active, has the correct phone number, and is assigned to the correct job if you sent a job-specific message.

I sent the wrong message

Send a follow-up message with the corrected information. Keep the correction clear so drivers know which instruction to follow.
