Assign a Driver and Truck When Dispatching a Job in the TruckIT Portal

Learn how to select a driver, choose the truck linked to that driver, and save the job during dispatch.

 

Use this article to assign a driver and truck while dispatching a job in the TruckIT Web Portal.

Assigning the correct driver and truck helps make sure the job is sent to the right person and connected to the correct equipment. This is important for job visibility, ticket activity, truck tracking, and driver communication.

Before you begin

Make sure you are logged in to the TruckIT Web Portal.

You may need permission to dispatch jobs. If you do not see Jobs, Dispatch, Drivers To Dispatch, or Save Job, contact your company administrator or TruckIT Support.

Before assigning a driver and truck, confirm:

  • The project has already been created
  • The payload has already been added to the project
  • The driver has been added as a team member
  • The truck has been added to your fleet
  • The driver is linked to the correct truck
  • The driver and truck should be assigned to this job

Assign a driver and truck during dispatch

1. Go to Jobs.
 

 

2. Click Dispatch.
 

 

3. Select the Project for the job.
 

 

4. Select the Payload for the job.
 

 

5. Click Drivers To Dispatch.
 
6. Select the driver you want to dispatch.
 

 

7. Select the truck linked to that driver.
 

 

8. Review the dispatch details.

 
9. Click Save Job.
 
 
The job is now saved with the selected driver and truck assignment.
 

Why the driver and truck need to match

 
TruckIT uses the driver and truck assignment to connect job activity to the correct field user and equipment.

Before saving the job, make sure the selected truck is the truck the driver is actually using. If the wrong truck is selected, job activity, tickets, location tracking, and reporting may be tied to the wrong truck.

If the driver is not listed

If you do not see the driver under Drivers To Dispatch, check that the driver has been added as a team member and has the correct user setup.

The driver may also need to be active in your company account before they can be selected for dispatch.

If the truck is not listed

If you do not see the truck you need, check that the truck has been added to your fleet and is linked to the correct driver.

If your company uses truck types, regions, or filters, the truck may also be hidden because it does not match the selected project, payload, or dispatch view.

Review before saving the job

Before clicking Save Job, confirm:

  • The correct project is selected
  • The correct payload is selected
  • The correct driver is selected
  • The correct linked truck is selected
  • The job date and start time are correct
  • Pickup and drop-off details are correct
  • Driver notes or instructions are complete

This helps prevent dispatching the wrong driver or truck.

Use a consistent review process before saving dispatches.

  • Link drivers to trucks before dispatching.
  • Confirm driver and truck assignments at the start of the day.
  • Keep your fleet and team member records up to date.
  • Review the selected driver and truck before clicking Save Job.
  • Update driver-to-truck links when drivers switch trucks.
  • Contact the driver or dispatcher if the assignment looks incorrect.
  • Avoid saving the job until the driver and truck match the actual field assignment.

Troubleshooting

I do not see Drivers To Dispatch

Your account may not have permission to dispatch drivers, or you may not be in the correct dispatch workflow. Contact your company administrator or TruckIT Support.

I cannot find the driver

Confirm the driver has been added as a team member and is active in TruckIT.

I cannot find the truck linked to the driver

Confirm the truck has been added to My Fleet and linked to the driver.

The wrong truck is linked to the driver

Update the driver-to-truck link before dispatching, if your permissions allow. If you cannot update it, contact your company administrator.

I saved the job with the wrong driver or truck

Open the job and edit the dispatch if your permissions allow. If you cannot edit it, contact your dispatcher, company administrator, or TruckIT Support.

The driver cannot see the job

Confirm the job was saved, the driver was selected, and the driver is linked to the correct truck.
