Add Offline Hauler Trucks to a Job in the TruckIT Portal

Learn how to dispatch a job using trucks from an offline hauler.

Use this article to add trucks from an offline hauler to a job in the TruckIT Web Portal.

Offline hauler trucks can be assigned during dispatch when your company needs to use trucks from an offline hauler account. This helps dispatchers add the correct partner trucks to a job without creating a separate dispatch workflow.

Before you begin

Make sure you are logged in to the TruckIT Web Portal.

You may need permission to dispatch jobs and assign hauler trucks. If you do not see Jobs, Dispatch, Haulers, Show Trucks, or Save Job, contact your company administrator or TruckIT Support.

Before adding offline hauler trucks to a job, confirm:

  • The offline hauler has already been created
  • The offline hauler has trucks added to their account
  • The project and payload are ready to dispatch
  • You know which offline hauler truck or trucks should be assigned
  • The truck assignment is correct before saving the job

When to use offline hauler trucks

Use offline hauler trucks when your company needs to assign trucks from a hauling partner that has been set up as an offline hauler in TruckIT.

Common examples include:

  • A hauling partner is not fully managing their own TruckIT account yet
  • Your dispatch team manages the hauler’s trucks on their behalf
  • A partner’s trucks need to be added to a specific job
  • A job needs additional truck capacity from a subhauler
  • You created an offline hauler and now need to use their trucks in dispatch

Review before saving the job

Before clicking Save Job, confirm that the correct offline hauler trucks have been added.

Check the:

  • Project
  • Payload
  • Offline hauler
  • Truck or trucks selected
  • Start time, if applicable
  • Driver or truck assignment details
  • Job notes or driver instructions
  • Pickup and drop-off information

This review helps prevent dispatching the wrong truck or assigning a hauler truck to the wrong job.

Best practices for using offline hauler trucks

Keep offline hauler dispatching clean and consistent.

Recommended best practices:

  • Add and verify offline hauler trucks before dispatching.
  • Use clear hauler and truck names so dispatchers can find them quickly.
  • Click Show Trucks to confirm the correct trucks are available.
  • Drag only the trucks that should be assigned to the job.
  • Review the dispatch before saving.
  • Add driver notes if the hauler needs special instructions.
  • Keep offline hauler accounts updated so inactive trucks are not assigned by mistake.
  • Use this article with the offline hauler setup article so users understand both workflows.

Troubleshooting

I do not see the offline hauler

Confirm the offline hauler has been created in TruckIT. If the hauler is missing, create or review the offline hauler setup first.

I do not see Show Trucks

The hauler may not have trucks added, or your account may not have permission to view hauler trucks. Confirm the offline hauler account has trucks available.

I cannot drag the truck into the dispatch area

Confirm you are on the dispatch screen, the project and payload are selected, and the truck is available to assign.

I added the wrong truck

Remove the incorrect truck before saving, then drag the correct truck into the dispatch area. If the job has already been saved, edit the dispatch if your permissions allow it.

The job did not save

Confirm that all required dispatch fields are complete, including the project, payload, truck assignment, date, time, and any required job details.
