Add and Set Up an Offline Hauler in the TruckIT Portal (walkthrough)

Learn how to create an offline hauler, log in as that hauler, and add users or trucks to their account.

Use this article to add an offline hauler in the TruckIT Web Portal and complete the basic setup for that hauler account.

An offline hauler is a hauling partner you create in TruckIT so your team can manage or coordinate with them even if they are not fully managing their own TruckIT account yet. After the offline hauler is created, you can log in as that hauler, add users, and add trucks.

Before you begin

Make sure you are logged in to the TruckIT Web Portal.

You may need permission to manage hauler settings and company accounts. If you do not see Haulers, Add Offline Hauler, or the login-as-company option, contact your company administrator or TruckIT Support.

Before creating an offline hauler, confirm:

  • The hauler company name
  • The hauler contact information
  • Whether the hauler needs a dispatcher login
  • Whether trucks need to be added for the hauler
  • Who should manage the hauler account after setup

Add an offline hauler

1. Log in to the TruckIT Web Portal.

2. Go to My Company.

3. Select Settings.

4. Open Haulers.

5. Click Add Offline Hauler.

6. Enter Hauler details

 

7. Save the new offline hauler.

The offline hauler is now created in TruckIT.

Log in as the offline hauler

After creating the offline hauler, log in as that company so you can complete the setup.

1. Click the login icon

2.  Click Select company to login as

3.  Select the company you created. 

 
You are now viewing TruckIT as the offline hauler. 
 

Add a team member for the offline hauler

After logging in as the offline hauler, create at least one user account.
 
1. Click My Company.
 

2. Select My Team.

3. Click Create New Team Member

4. Enter the user details.

5. Select the correct role and user type.

6. Save the user.

Important: Do not edit the Default Manager user. The current article notes that the Default Manager is for TruckIT internal use. Instead, create a new user account for the offline hauler.

Recommended setup: create one dispatcher account

For most offline haulers, create one Dispatcher account.

This allows the offline hauler to log in and manage their own account. A dispatcher account may be useful when the hauler needs to:

  • Manage their team
  • Add or manage trucks
  • Review assigned work
  • Coordinate with your company
  • Keep their account information updated

Add trucks for the offline hauler

After the offline hauler account is created, you can add trucks to the hauler’s account.

Use this when the hauler’s trucks need to be available for assignment, dispatching, or coordination in TruckIT.

Before adding trucks, confirm:

  • Truck name or number
  • Truck type
  • Driver assignment, if applicable
  • Region, if applicable
  • Whether the hauler will manage trucks themselves going forward

When to use an offline hauler

Use an offline hauler when you need to represent a hauling partner in TruckIT before or without a fully self-managed hauler setup.

Common examples include:

  • A hauler you work with regularly
  • A hauler that needs to be available for dispatching
  • A partner that is not ready to manage their full TruckIT setup yet
  • A hauler whose trucks need to be tracked or assigned in your workflows
  • A hauler that should eventually receive a dispatcher account and manage their own users or trucks

Best practices for offline haulers

Keep offline hauler accounts clean and easy to manage.

Recommended best practices:

  • Search for the hauler first to avoid duplicates.
  • Use the hauler’s official company name.
  • Add at least one dispatcher account if the hauler will manage their own account.
  • Do not edit the Default Manager user.
  • Add only the trucks that should be available in TruckIT.
  • Assign regions if your company uses regional filtering.
  • Confirm contact information before saving.
  • Review offline haulers periodically and clean up inactive records if your permissions allow it.

Troubleshooting

I do not see Add Offline Hauler

Your account may not have permission to manage haulers. Contact your company administrator or TruckIT Support.

I cannot log in as the offline hauler

Confirm that the offline hauler was created and saved correctly. You may also need permission to log in as another company.

I accidentally opened the Default Manager user

Do not make changes to the Default Manager user. Return to My Team and create a new user account instead.

I edited the Default Manager by mistake

Contact TruckIT Support so they can help review the account.

The offline hauler cannot log in

Confirm that a user account was created for the hauler and that the login details were shared with the correct person.

I need the hauler to manage their own account

Create a dispatcher account for the offline hauler. This gives the hauler a user who can log in and manage their account.
