Create and Manage Custom Fields in the TruckIT Portal

Learn how to add custom fields, show them on the Dispatch screen, and manage driver or inspector permissions.

Use this article to create custom fields in the TruckIT Web Portal.

Custom fields help your company capture additional information that is important to your workflow. You can use custom fields to collect project, dispatch, ticket, driver, inspector, or operational details that are not already included in TruckIT’s standard fields.

Before you begin

Make sure you are logged in to the TruckIT Web Portal.

You may need Company Admin access to create, view, or edit some custom field settings. Only Company Admins can see and edit Permissions and the Show on Dispatch toggle.

Before creating a custom field, confirm:

  • What information your team needs to capture
  • Where the field should appear
  • Whether the field should show on the Dispatch screen
  • Whether drivers or inspectors should be able to view or edit the field
  • What field type should be used
  • What naming format your company wants to follow

Create a custom field

1. Log in to the TruckIT Web Portal.

 

2. Click the Settings icon.

 

3. Select Settings.

 

4. Click Custom Fields.

 

5. Click Add custom field.

 

6. Click the Name field.  

7. Enter the name of the custom field. 

 

8. Click Type.

9.  Select the custom field type.

8. Click Save.

 

The custom field is now created.

Choose whether the field appears on the Dispatch screen

After creating the custom field, choose whether it should appear on the Dispatch screen.

Use the Show on Dispatch toggle to enable or disable the field on the Dispatch screen.

Turn this on when dispatchers need to see or enter the field while creating or managing dispatches.

Turn this off when the field should be stored in settings but does not need to appear during dispatch.

Manage custom field permissions

Custom field permissions control how certain users interact with the field.

1. Open the custom field settings

 

 

2. Click each Permission option.

 

3. Select the permission level for drivers and inspectors.

 
Use permissions carefully so users only see or edit the information that applies to their role. 

 

Permission guidance

When setting permissions, think about how each role will use the field.

Drivers

Give drivers access when the field relates to information they need in the field, such as job instructions, ticket details, site requirements, or delivery notes.

Inspectors

Give inspectors access when the field relates to verification, project review, compliance, ticket review, or field inspection workflows.

Admins and dispatchers

Admins and dispatchers may need broader access because they are often responsible for setup, dispatch management, and operational review.

When to create a custom field

Create a custom field when your team needs to track information that is specific to your operation.

Examples may include:

  • Customer reference number
  • Job phase
  • Purchase order number
  • Inspector notes
  • Billing code
  • Material specification
  • Site requirement
  • Safety note
  • Internal dispatch note
  • Project-specific identifier

Before creating a new field, check whether an existing standard field or custom field already captures the same information.

Best practices for custom fields

Keep custom fields clean and consistent so they are easy for users to understand.

Recommended best practices:

  • Use short, clear field names.
  • Avoid duplicate fields.
  • Use the right field type for the information being collected.
  • Only show fields on Dispatch when dispatchers need them.
  • Use permissions to keep fields relevant by role.
  • Review custom fields regularly.
  • Remove or disable fields your team no longer uses, if your permissions allow it.
  • Use consistent naming across regions, branches, or markets.

For example, use PO Number instead of creating separate fields such as P.O. #, Purchase Order, and PO#.

Important note for Company Admins

Only Company Admins can see and edit the Permissions and Show on Dispatch toggle.

If a user cannot view or edit these settings, confirm whether they have Company Admin access before troubleshooting further.

Troubleshooting

I do not see Custom Fields

Your account may not have permission to manage company settings. Contact your company administrator or TruckIT Support.

I cannot edit permissions

Only Company Admins can see and edit custom field permissions.

I cannot see the Show on Dispatch toggle

Only Company Admins can see and edit the Show on Dispatch toggle.

I created a custom field, but it does not appear on Dispatch

Check whether Show on Dispatch is enabled for that field. If you do not see the toggle, contact a Company Admin.

I created the wrong field type

Review the custom field settings and update the field if editing is available. If the field type cannot be changed, you may need to create a new custom field with the correct type.

Users are confused by the field name

Rename the field using clearer language if your permissions allow it. Use names that match how your team already talks about the information.
