Learn how to add material, truck type, pickup site, drop-off site, unit of measure, and optional charges to a project payload.
Use this article to add a payload to a project in the TruckIT Web Portal.
A payload tells drivers what material they are picking up, where they are picking it up, where they are delivering it, and how the work should be measured.
Payloads must be added to a project before the job can be dispatched.
Before you begin
Make sure the project has already been created in the TruckIT Portal.
You should also have the following information ready:
- Material being hauled
- Pickup site
- Drop-off site
- Truck type or truck types needed
- Unit of measure
- Any additional charges, such as fuel surcharge or tax
If the pickup or drop-off site has already been created, you can select it from your site list. If not, you can manually enter a new address when adding the payload.
Add a payload to a project
- Log in to the TruckIT Web Portal.
- Open the project where you want to add the payload.
- Click Add Payload in the upper-right corner of the project page.
A pop-up window will open where you can enter the payload details.
Select the truck types
First, choose the truck type or truck types that can run this job.
You can:
- Select one truck type
- Select multiple truck types
- Choose Select All if any truck type can be used
Selecting the correct truck type helps your team assign the right equipment when the job is dispatched.
Choose the pickup and drop-off sites
Next, select where the material is coming from and where it is going.
- Select the pickup site.
- Select the drop-off site.
You can choose from existing sites or manually enter a new address.
Before moving on, confirm that both locations are correct. These locations will help drivers understand where to pick up and deliver the material.
Select the payload material
After selecting the sites, choose the material for the payload.
- Click the Payload dropdown.
- Select the material from the list.
If the material is not listed, click Add Payload to create a custom material entry.
Use clear material names so dispatchers, drivers, and back-office users can easily understand what is being hauled.
Choose the unit of measure
Next, select the unit of measure for the payload.
Common units of measure may include:
- Hourly
- Per ton
- Cubic yard
- Load
- Cubic meter
The unit of measure is important because it affects how the work is tracked, reviewed, and reported.
Add optional fields
If your company needs to track additional charges or job details, click Add Fields.
Examples of optional fields include:
- Fuel surcharge
- Tax
- Additional fees
- Job-specific charges
- Internal billing details
Only add fields that are needed for this project or payload. Keeping payload details clean makes the job easier to review later.
Save the payload
After all payload details are complete:
- Review the truck types.
- Confirm the pickup and drop-off sites.
- Confirm the material.
- Confirm the unit of measure.
- Review any optional fields.
- Click Save.
The payload will now be added to the project and can be used for dispatching.
What happens next?
After the payload is saved, you can dispatch the job from the project.
Before dispatching, review the payload to make sure the material, sites, truck types, and unit of measure are correct.
Troubleshooting
I do not see the Add Payload button
You may not have permission to add payloads, or the project may not be set up correctly. Contact your company administrator or TruckIT Support.
I cannot find the material I need
Use the Add Payload option in the payload dropdown to create a custom material entry.
I cannot find the pickup or drop-off site
You can either select an existing site or manually enter a new address.
I selected the wrong unit of measure
Edit the payload before dispatching the job. The unit of measure should be correct before the job is dispatched so reporting and billing details stay accurate.
I added the payload, but I am not ready to dispatch
That is okay. Saving the payload adds it to the project. You can dispatch the job later when you are ready.
