Create and Assign Regions in the TruckIT Portal (video)
Learn how to create regions, assign trucks and users to regions, and filter jobs or trucks by region.
Use this article to create regions in the TruckIT Web Portal and assign trucks or users to those regions.
Regions help your company organize trucks, users, jobs, and dispatch activity by geographic area or operating group. They are especially useful if your company works across multiple markets, branches, divisions, or service areas.
Before you begin
Make sure you are logged in to the TruckIT Web Portal.
You may need permission to manage company settings, fleet records, and team members. If you do not see My Company, Settings, Regions, My Fleet, or My Team, contact your company administrator or TruckIT Support.
Before creating a region, confirm:
- The region name
- The location or coordinates for the region
- Which trucks should be assigned to the region
- Which users should be assigned to the region
- Whether your team wants to use regions for filtering jobs or dispatching trucks
Create a new region
- Log in to the TruckIT Web Portal.
- Go to My Company.
- Select Settings.
- In the left-side menu, select Regions.
- Click Add New Region.
- Enter the region name.
- Add the region coordinates.
You can add coordinates in two ways:
- Type the coordinates manually.
- Drop a pin on the map and let TruckIT fill in the coordinates automatically.
- Review the region details.
- Click Save.
The new region will now be available in TruckIT.
Assign a truck to a region
After a region has been created, you can assign trucks to it from My Fleet.
- Go to My Company.
- Select My Fleet.
- Find the truck you want to assign to a region.
- Click the three-dot menu under Other Actions.
- Select Assign Region.
- Choose the correct region from the list.
- Click Save.
The truck is now associated with that region.
Assign a user to a region
You can also assign team members to a region.
- Go to My Company.
- Select My Team.
- Find the user you want to assign to a region.
- Open the user’s available actions or edit option.
- Select the correct region.
- Save your changes.
When the user logs in, fields may be filtered by their assigned region by default.
Use regions when dispatching trucks
When dispatching, you can filter trucks by region.
This helps dispatchers quickly find trucks that belong to the correct market, branch, or operating area. After a region filter is applied, only trucks associated with that region will be available in the filtered view.
Use this when you want to:
- Dispatch trucks from a specific market
- Reduce clutter in the truck list
- Avoid assigning trucks from the wrong region
- Keep regional operations organized
- Help dispatchers find the right available trucks faster
Filter jobs by region
You can also search or filter jobs by region from the My Jobs page.
This is useful when reviewing job activity for a specific operating area, market, or branch.
Use job region filters to help answer questions like:
- Which jobs are active in this region?
- Which region is this job assigned to?
- Are there pending or completed jobs in this market?
- Which regional team should review this job?
When to use regions
Regions are helpful when your company needs to organize work by location or operating group.
Common examples include:
- Multiple markets
- Multiple branches
- Different dispatch teams
- Separate service areas
- Regional truck pools
- DOT or project-specific operating areas
- Large geographic coverage areas
If your team only operates in one area, you may not need many regions. If your team works across multiple areas, regions can make dispatching, filtering, and user visibility much cleaner.
Best practices for regions
Keep regions simple and consistent.
Recommended best practices:
- Use clear region names your team already understands.
- Avoid creating duplicate or overlapping regions unless there is a clear reason.
- Assign trucks to the correct region before dispatching.
- Assign users to regions when their work should be filtered by default.
- Review region assignments regularly.
- Update truck and user regions when markets, teams, or operating areas change.
- Use consistent naming across branches or markets.
Good region names might include market or branch names, such as Atlanta, North Georgia, Charlotte, or South Region, depending on how your company organizes operations.
Troubleshooting
I do not see the Regions option
Your account may not have permission to manage company settings. Contact your company administrator or TruckIT Support.
I created a region, but I cannot assign trucks to it
Refresh the page and confirm the region was saved. Then go to My Company > My Fleet and use the truck’s Other Actions menu to assign the region.
I cannot find a truck when filtering by region
The truck may not be assigned to that region yet. Go to My Company > My Fleet, find the truck, and confirm the assigned region.
A user is seeing the wrong region by default
Check the user’s region assignment in My Company > My Team. Update the assigned region if needed.
I assigned the wrong region to a truck
Go to My Company > My Fleet, open the truck’s actions menu, select the correct region, and save your changes.
I am not sure what coordinates to use
Use the map pin option if available. Dropping a pin allows TruckIT to fill in the coordinates automatically.
