Add or Remove Trucks from an Active Job in the TruckIT Portal (video)
Learn how to update truck assignments after a job has already been dispatched.
Use this article to update truck assignments on an active job in the TruckIT Web Portal.
You may need to add or remove trucks after a job has already been dispatched if the job volume changes, a truck becomes unavailable, a driver needs to be replaced, or more trucks are needed to keep the job moving.
Before you begin
Make sure you are logged in to the TruckIT Web Portal.
You may need permission to manage active jobs or dispatches. If you do not see Jobs, the active job, or truck assignment options, contact your company administrator or TruckIT Support.
Before making changes, confirm:
- The job you want to update
- Which truck or trucks need to be added
- Which truck or trucks need to be removed
- Whether the job is still active
- Whether the new truck has the correct driver assignment
- Whether the driver should receive updated job details
Open the active job
- Log in to the TruckIT Web Portal.
- Go to Jobs.
- Find the active job you want to update.
- Open the job details.
Review the job before making changes so you are editing the correct dispatch.
Add trucks to an active job
Use this workflow when you need to send more trucks to a job that has already been dispatched.
- Open the active job.
- Find the truck assignment section.
- Select the truck or trucks you want to add.
- Confirm the truck details.
- Confirm the driver assignment, if applicable.
- Add or update any driver notes, if needed.
- Save your changes.
The added truck will now be assigned to the active job.
Remove trucks from an active job
Use this workflow when a truck should no longer be assigned to an active job.
- Open the active job.
- Find the assigned truck list.
- Select the truck you want to remove.
- Confirm that the truck should be removed from the job.
- Save your changes.
After the truck is removed, review the active job to make sure the assignment list is correct.
When to add trucks
Add trucks to an active job when the job needs more capacity or coverage.
Common reasons include:
- More material needs to be moved
- The job is behind schedule
- The customer requested additional trucks
- A truck finished another job and is now available
- Dispatch needs to rebalance workload during the day
When to remove trucks
Remove trucks from an active job when the truck should no longer work on that dispatch.
Common reasons include:
- The truck broke down
- The driver is unavailable
- The truck was assigned by mistake
- The job no longer needs as many trucks
- The truck was moved to another job
- The job was partially completed or reduced in scope
Review the job after updating trucks
After adding or removing trucks, review the active job to confirm everything is accurate.
Check the:
- Assigned truck list
- Driver assignments
- Start times
- Job notes
- Pickup and drop-off locations
- Job status
- Any tickets already created for the job
This helps prevent confusion for dispatchers, drivers, and back-office users.
Important notes
Changing truck assignments on an active job can affect field communication, job visibility, and ticket records.
Before removing a truck, confirm whether that truck has already started the job or created tickets. If the truck has already completed work, review the job and ticket records before making changes.
If you are adding a truck, make sure the driver has the correct job information before they arrive on site.
Troubleshooting
I do not see the active job
Check your job filters. The job may be under a different date, project, region, or job status.
I cannot add a truck
The truck may be unavailable, archived, assigned to another job, or outside the region you are viewing. Your user role may also not have permission to update dispatches.
I cannot remove a truck
The truck may already have job activity or ticket records connected to the job. Review the truck’s status and contact your company administrator or TruckIT Support if needed.
The driver did not receive the updated job
Confirm the changes were saved. Then check that the correct truck and driver are assigned to the job.
I removed the wrong truck
Open the job again and add the correct truck back to the assignment list, if available.
